Library Advisory Committee Policy


The Library Advisory Committee in an academic library plays a crucial role in guiding and enhancing the library's services and resources. The following points will advise the structure and roles of the committee.

Composition & Membership:

  • The composition of the committee, includes representation from faculties and relevant stakeholders from each department or stream.

  • The chairperson of the committee will be the Dean R and D and the Librarian will be the convener.

  • All HoDs of the branches will recommend a faculty to be a member of the committee. The committee members will be selected for 3 years or may continue till further order of the head of the institute.

  • Procedures for filling vacancies – in case of resignation or for any other reasons membership fall vacant. The convener will ask the respective department head to recommend a faculty to fill the vacant. In the next committee meeting, it will be prosed to include the other recommended member to approve in the committee meeting and it will be brought to the notice of head of the institute. 


Meeting Procedures:
> In a calendar year, at least twice the committee will conduct the meetings. As and when librarian feels the requirement of the meeting can call the meeting. Agendas will be circulated through Email IDs and WhatsApp Group. 

Decision-Making Process:
>Proposals will be approved by voting system at in person meeting or virtual meeting (WhatsApp Group) with 75% quorum.  
Roles and Responsibilities of Members
> Advocate for adequate funding and resources to support the library's needs.
> Participate in the development of long-term goals and strategic plans for the library. 
> Provide input on initiatives that align with the library's mission and vision.
> Contribute to the creation and review of library policies.
> Ensure that policies are in line with the overall goals of the library and the institution.
> Ensure your active participation of all discussion in the meeting.


Functions of the Library Advisory Committee:

· Strategic planning –
o   Participate in the development of long-term goals.
o   strategic plans for the library. Provide input on initiatives that align with the library's mission and vision.

· Collection development –
o   Provide input on the development and management of the library's collection.
o   Ensure that the collection meets the diverse needs of users.

· Technology integration -
o   Stay informed about emerging technologies in library services.
o   Advise on the adoption of new technologies to enhance library services.

· Budget oversight –
o   Clearly delineate the committee's role in budget oversight, including the process for reviewing and recommending budget allocations for library resources, services, and initiatives.

· Policy development -
o   Contribute to the creation and review of library policies.
o   Ensure that policies are in line with the overall goals of the library and the institution. 

· Advocacy -
o   Promote the library's resources, services, and programs within the organization or community.
o   Advocate for adequate funding and resources to support the library's needs.

 It provides a framework for the effective operation of the Library Advisory Committee, nurturing transparency, accountability, and collaboration in guiding the library's development and enhancement.
