Circulation section is the place where all library users visit for membership, to borrow and return books, and to clarify any doubts regarding to library services and facilities.

Aims & Objectives of the Section
 
Aims & Objectives:

  • To ensure efficient management of library resources distribution, enhance user experience, and contribute to the overall effectiveness of the library's services.
  • The aim of Circulation Section of our library is to facilitate seamless access to relevant engineering and technical resources, promote academic success, and support research endeavors of students, faculty, and staff.
  • The objective of the Circulation Section of our library is to efficiently manage the borrowing and lending of materials, provide timely access to course textbooks, reference materials, and research resources, and support the academic pursuits and project work of students and faculty in our institution.
Circulation Section Policies and Procudures
  • Membership:
  • All students and staff whoever join to the KLS GIT, can take library membership.
  • Students:
  • Need to fill Online Membership Form.
  • Next day submit, Photocopies of College ID Card, Fee Receipt and Passport Size Photo in the Circulation Counter to create library account.
  • Staff:
  • Need to fill Online Membership form.
  • Next day submit, Photocopies of Appointment Order, Passport Size Photo in the Circulation Counter to create library account.

  • Borrowing Privileges:
 
1.The Circulation Section of the library facilitates borrowing privileges for a diverse range of individuals including students (UG, PG, and Research Scholars), teaching and non-teaching staff, and management members.
 
2.Different borrowing limits are set for textbooks, general books, and reference books/periodicals, with an option for overnight issue available after 4.30 pm, to be returned by 11.00 am the following day.
 
3.To ensure a smooth lending process, patrons must present a valid library ID card, maintain an active and clear account, and comply with regulations such as no duplicate issues, borrowing in-person, and settling overdue fines before acquiring new materials.

4.The system enables self-renewal of eligible items, holds, and reservations, promoting fair and efficient utilization of library resources and encouraging responsible and equitable access for all users.

Loan Period:
 
1.The library offers  tailored loan periods and renewal policies based on patron types. Undergraduates (UG) and postgraduates (PG) have a standard loan period of 15 days, with an option to renew for another 15 days.
 
2.Research scholars benefit from an extended loan period of 90 days without renewal options. Staff members, including teaching and non-teaching staff, and visiting faculty, enjoy a loan period of 180 days with no renewal option.
 
3.Students have the privilege of a one-time self-renewal via the library's website or app, aiming to cater to diverse academic needs and provide a user-friendly renewal option.
 
These policies are designed to accommodate different academic requirements for different types of users while ensuring ease of access and renewal for students.

Returning:
 
1.Timely return of library books is crucial for responsible library users to uphold fairness in the borrowing system and ensure resources are available for all patrons.
 
2.Failing to return books on the due date results in them being marked as overdue, potentially inconveniencing other users awaiting the same resources and may lead to fines as per library policies.
 
3.The library employs various methods, including self-checking features through the KLS GIT Library Mobile App or logging in to the KLS GIT Library OPAC, to remind users of overdue books.
 
By adhering to due dates and promptly returning borrowed materials, library patrons can contribute significantly to the efficient functioning of the library and the equitable availability of resources.
 
 
Fines & Overdue Charges:
 
1.Failure to return library books by the due date incurs a fine of Rs. 1 per book per day, beginning from the due date until the item is returned or renewed. It is imperative for students to promptly return or renew borrowed materials to prevent the accumulation of fines.
 
2.A maximum outstanding fine limit of Rs. 100 applies to all library users. Once a patron's fines reach this limit, their library account will be blocked until the outstanding amount is settled.
 
3.To settle fines, patrons must obtain a fine slip from the circulation counter and present it at the account section to receive a challan for payment at the bank. After completing the payment, users must submit the college copy to the library to clear the outstanding fine and unblock their account.
 
4.In exceptional circumstances, the library administration reserves the right to waive fines for valid reasons, such as prolonged illness or unexpected emergencies. Patrons can submit a fine waiver request, along with relevant documents, for review by the library staff.

Lost & Damaged Books:
 
1.The Lost or Damaged Library Books Policy places accountability on patrons for the proper care of borrowed materials, emphasizing the importance of safekeeping.
 
2.In cases of loss or damage, patrons may replace the item if available in the market, adhering to specific criteria outlined by the policy.
 
3.For items that are not replaceable, patrons are required to make payments based on the current Maximum Retail Price (MRP) or library records for out-of-publication books, which must be promptly settled at the circulation desk.
 
4.Borrowing privileges are suspended until resolution, highlighting the policy's emphasis on careful handling. Additionally, once payment is made, no refunds are issued, ensuring the maintenance of a well-curated library collection for the use of all patrons.


Book Recall:

1.Initiation of Recall Policy: The Recall Policy is activated when a book is urgently required by another patron before its original due date.

2.Verification and Communication: Library staff assess the necessity, confirm availability, and inform the current borrower of the urgent need. Communication methods include phone calls, emails, or system notifications, along with a revised, shorter due date.

3.Completion and Notification: Upon return, the book is reserved for the requesting patron, who is promptly notified for pickup.


Code of Conduct:



1.Patrons must adhere to the Code of Conduct for KLS GIT Library, which includes using ID cards for access and refraining from eating.

2.Group study, excessive mobile usage, and disrespectful behaviour towards library staff are prohibited.

3.Maintaining cleanliness, managing personal belongings, and respecting library property are paramount.

4.Violations may result in disciplinary actions, emphasizing mutual respect and responsible conduct.


Suspension of Privileges:

1.KLS GIT Library may suspend borrowing privileges for various reasons, including repeated Code of Conduct violations, severe misconduct, and failure to return materials.

2.Unauthorized borrowing, deliberate misuse, non-payment of fines, and disregard for staff instructions are also grounds for suspension.

3.Failure to comply with policies, breach of security, and damage to the library's reputation may result in privileges being suspended.

4.Suspension aims to enforce library rules, ensuring a positive environment for all patrons by promoting adherence to regulations.


Appeals Process:

1.The library offers an Appeals Process for patrons to challenge decisions regarding borrowing privileges or fines.

2.Patrons can submit formal appeals, which are reviewed by the librarian.

3.The final decision is communicated in writing and is considered binding.

4.The process prioritizes transparency and fairness, encouraging respectful communication between patrons and library staff to address concerns and seek resolution.
